1. Who we are

2. What data we process and why

Contact form, email and WhatsApp

When you contact us, we process your name, email address, and if you fill them in, your company name and sector, plus the content of your message. We use this only to answer your question and, if you ask for it, to prepare an offer. Legal basis: taking steps before entering into a contract and our legitimate interest in answering enquiries (Art. 6(1)(b) and (f) GDPR). After you submit the form you receive an automatic confirmation email.

Clients

If you become a client, we process the data needed to perform the agreement: contact and company details, agreements and contracts, project information, invoices and payment details (such as your IBAN for direct debit). Legal basis: performance of the contract and legal obligations such as the tax record-keeping duty (Art. 6(1)(b) and (c) GDPR).

Visiting the website

We anonymously measure how the website is used so we can improve it: which pages are viewed and how long they are actively in view, which buttons are clicked (such as contact, WhatsApp and the packages), which website you came from (domain name only), the type of device (mobile, tablet or desktop) and the language. We do this on our own server, without cookies and without storing your IP address. To count visitors per day, we turn your IP address and browser type into an encrypted code using a secret key that is replaced every day and then discarded. This means we cannot recognise you, cannot follow you across days, and cannot trace the code back to your IP address. If your browser signals that you do not want to be tracked (Global Privacy Control or “Do Not Track”), we measure nothing. Legal basis: our legitimate interest in improving the website. We use no advertising or tracking cookies and no social media plugins. Our hosting provider may briefly keep technical data such as your IP address, time and requested page in server logs to keep the website secure and working (legitimate interest). Fonts and icons are loaded from our own server, so your IP address is not passed to third parties such as Google. Your language preference is stored only in your own browser (see our cookie policy).

3. How long we keep data

  • Enquiries from people who do not become clients: up to 1 year after the last contact.
  • Client data: for as long as the agreement runs and afterwards for as long as needed to complete it.
  • Financial records (such as invoices): 7 years, as required by Dutch law.
  • Anonymous website statistics: up to 13 months, then deleted automatically.

4. Who we share data with

We never sell your data. We only use service providers we need to do our work:

  • Google (email): to receive and send email, including messages from the contact form.
  • Render (hosting): the server that runs the contact form and our internal client system.
  • MongoDB Atlas (database): storage of client and project data in our internal system.
  • Mollie (payments): for collecting monthly fees by direct debit.
  • Our website host: to serve this website.
  • WhatsApp (Meta): only if you choose to contact us through WhatsApp.

Some of these providers are based in, or process data in, the United States. Such transfers take place under the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.

5. Security

We take appropriate technical and organisational measures to protect your data, such as encrypted connections (https), restricted access to our internal system and personal accounts for team members.

6. Your rights

You have the right to access, correct or delete your data, to restrict or object to its processing, and to data portability. Send your request to contact@infobranch.nl. We respond within one month. If you are unhappy with how we handle your data, you can file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

7. Changes

We may update this privacy policy. The date at the top shows when it was last changed.
